PRIVACY POLICY
Last updated: September 16, 2026
This Privacy Policy explains how NeedleWake collects, uses, shares, and protects information when you visit needlewake.com, create or recover a NeedleWake account, submit a music catalog, use catalog monitoring features, receive Wake Alerts, or purchase a NeedleWake subscription.
Information we collect
Account information. We collect information you provide to create, sign in to, or recover an account, such as your email address and account or catalog identifiers.
Artist and catalog information. We collect the artist name, genre, song titles, song descriptions, context, themes, watch terms, and other catalog information you choose to submit. This information is used to operate NeedleWake's catalog-monitoring features.
Subscription and billing information. Payments are processed by Stripe. NeedleWake receives and stores information needed to manage access, such as Stripe customer and subscription identifiers, subscription status, price or plan identifiers, billing period information, and cancellation status. NeedleWake does not store your full payment-card number or card security code.
Usage and technical information. We may process information such as IP address, browser or device information, timestamps, request and error logs, security information, session or browser identifiers, and product-usage activity needed to operate, secure, troubleshoot, and improve the service. This may include first-party conversion events such as a Start Free account click, login verification, catalog setup, and first scan so we can understand where the onboarding process succeeds or fails. When advertising measurement is enabled, Meta Pixel may also receive page-view and selected conversion-event information so NeedleWake can measure advertising performance.
Communications. If you receive login links, account messages, billing communications, Wake Alerts, or contact NeedleWake, we may process your email address, message content, delivery status, and related communication records.
How we use information
We use information to provide and secure NeedleWake; create and recover accounts; isolate private catalogs; run catalog scans; build song context and watch terms; calculate and display Wake Scores, WATCH, SLEEP, and WAKE NOW states; preserve signal and scan history; send requested or service-related emails and Wake Alerts; manage subscriptions and paid access; prevent abuse and fraud; troubleshoot errors; improve product reliability; enforce our Terms; and comply with legal obligations.
Automated analysis
NeedleWake uses automated systems to compare information you submit about your songs with external search, cultural, news, trend, and other signal data. These systems generate monitoring results, scores, classifications, and recommendations. NeedleWake's outputs are informational tools for music-promotion decisions and do not guarantee streams, sales, playlist placement, press coverage, revenue, or other commercial outcomes.
Cookies, sessions, and browser storage
NeedleWake may use cookies, session identifiers, local browser storage, or similar technologies for sign-in, private-catalog isolation, account recovery, security, preferences, core service operation, first-party measurement of the free-trial onboarding funnel, and advertising measurement. Third-party services used by NeedleWake, including Stripe and Meta, may use their own cookies or similar technologies under their own policies.
Service providers and third parties
NeedleWake relies on service providers to operate the product. These currently include Cloudflare for application hosting, networking, security, and database infrastructure; Stripe for subscription billing and payment processing; Resend for transactional email delivery; Apify for automated monitoring and data-processing workflows; and Meta for advertising measurement through Meta Pixel. NeedleWake may also use external search, news, trend, and data sources when generating catalog signals.
We provide service providers only the information reasonably needed for their role in operating the service. Their handling of information is also governed by their own terms, privacy notices, and applicable data-processing agreements.
How information may be shared
We may disclose information to service providers that help operate NeedleWake; when required by law, legal process, or a valid governmental request; when reasonably necessary to investigate fraud, abuse, security incidents, or violations of our Terms; or in connection with a merger, acquisition, financing, reorganization, or sale of all or part of the business, subject to applicable law.
NeedleWake does not sell your personal information. NeedleWake does not rent personal information to advertisers or use submitted music-catalog information for third-party targeted advertising.
Data retention
We retain information for as long as reasonably necessary to provide the service, maintain account and subscription records, preserve trusted scan and signal history, resolve disputes, prevent fraud or abuse, meet legal or accounting obligations, and enforce agreements. Retention periods can vary by data type and by the service providers involved. Data may remain for a limited period in backups, logs, fraud-prevention records, or records that must be retained by law.
Security
NeedleWake uses reasonable administrative and technical safeguards designed to protect information, including access controls, private catalog identifiers, HTTPS, platform secrets, and third-party infrastructure with security controls. No internet service or storage system can guarantee absolute security.
Your choices and privacy rights
Depending on where you live, applicable law may give you rights to request access to, correction of, deletion of, or a copy of certain personal information, or to object to or restrict certain processing. You may also cancel or manage an eligible subscription through the Stripe billing portal available from your NeedleWake account. We may need to verify your identity before completing a privacy request.
International processing
NeedleWake and its service providers may process information in the United States and other countries. Where required, service providers may use contractual or other legal safeguards for international transfers.
Children
NeedleWake is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn that such information has been provided, we will take reasonable steps to delete it.
Changes to this policy
We may update this Privacy Policy as NeedleWake changes. When we make material changes, we will update the date above and may provide additional notice when appropriate.
